Batch pay Xero bills by branch
Review a branch pay run and create one Xero batch payment with typed confirmation.
Prepare one branch pay run
- On Bills, choose the branch category and option, then Apply filters.
- Tick the bills to pay. Review split bill labels: the selection includes every chosen bill in full.
- Press Create batch payment. Choose Pay from bank account, Payment date and Reference (outside New Zealand Xero sends it to your bank as Details, at most 18 characters).
- Press Preview batch payment. Check the bank, total and each bill.
- Type the displayed PAY n phrase, then press Confirm batch payment.
- Read per-bill outcomes. Open batch payment in Xero or Download result CSV.
- Open History, then View result to revisit the run. Undo batch payment requests deletion of the whole batch.
Maximum 200 bills per batch, a Billsift safety limit. Reads stop with a clear error above 10,000 unpaid bills; a partial list is never shown. Batch payments require authorised bills with an amount due above zero. Bank, bill and organisation base currencies must match.
Dates on or before the organisation’s lock date are refused. The 14-day trial covers view/export; a batch requires $15/month or $19/7 days, excl. VAT/sales tax.
Sending funds and undo
Record the batch here, then handle bank files and actual transfer in Xero and your bank.
Undo batch payment is available for 30 days after completion. It asks Xero to delete the whole batch, which makes its bills due again. Xero can refuse, including when payments are reconciled; the reason appears with the result.
The batch payment and its Undo were checked on Xero’s Demo Company on 29 October 2026.
