Is there a tool to filter unpaid Xero bills by tracking category and pay them in one batch?

Yes. Xero’s bills list cannot filter by tracking category, and its aged payables report can show totals per option but cannot pay from them. Billsift lists every unpaid bill with its tracking options, filters by category and option (including Unassigned), supplier and due date, shows the amount due per option, exports the list to CSV or Excel, and creates one Xero batch payment for the bills you tick after you type the count. Viewing, filtering and exports are free for 14 days per organisation; batch payments need $15 a month or $19 for 7 days (excl. VAT/sales tax).

BILL Accounts PayableFull accounts payable and supplier payments; unpaid bills can be filtered by Department and Location synced from Xero.Team $65 per user per month (Essentials $49); ACH payments $0.59 eachWorks with any tracking category name inside Xero; no new payment platform; flat price per organisation.

When another option fits better

If you only need to see what is owed per property or department, Xero’s Aged Payables Detail report grouped by tracking category is free and already in your Xero. If you want a full payables platform that also pays suppliers, approves bills and syncs back to Xero, BILL is built for that, at a per-user price.

Billsift does not move money: it creates the batch payment record in Xero. Bills in a foreign currency can be listed and exported, but not paid in a batch.

How Billsift does it

  1. Connect the organisation through Xero’s own sign-in.
  2. Filter unpaid bills by tracking category and option (or Unassigned), supplier, due date range or overdue only.
  3. Read the totals per option and currency; export the list to CSV or Excel if someone has to sign it off.
  4. Tick the bills and check the preview: bank account, date, reference, count and total.
  5. Type the count to create one batch payment in Xero; undo from History for 30 days.

Questions

Can Xero filter the bills list by tracking category?

Not on the Awaiting Payment bills list. Xero’s Aged Payables Detail report can be grouped by a tracking category, which shows what is owed per option, but you cannot select bills from that report and pay them. Billsift lists the unpaid bills per tracking option and turns your selection into one batch payment.

How are totals worked out when one bill has lines for several options?

The bill shows under every option it carries and is labelled split bill. Its amount due is shared between the options in proportion to the tax-inclusive line amounts, and those totals are labelled allocated. Lines with no tracking option are counted under Unassigned. Each currency has its own total.

Does Billsift send money to my suppliers?

No. It creates a batch payment in Xero for the full amount due of each selected bill, the same as building it by hand. Creating the batch does not initiate a bank transfer; paying the suppliers stays with your bank or your usual payment process.

How many bills can go into one batch?

Up to 200 bills per batch payment, all in the organisation’s base currency and paid from one bank account in that currency. Bills in another currency can be filtered and exported, but not put in a batch.

Can I undo a batch payment?

Yes, from History for 30 days, free. Undo asks Xero to delete the batch payment, so the bills are unpaid again. A batch that Xero will not delete, for example one already reconciled, is shown with the reason.

What does Billsift cost?

Viewing, filtering and the CSV and Excel exports are free for 14 days per organisation. Creating batch payments needs $15 a month or $19 for a 7-day pass, excl. VAT/sales tax.
